Tagging is a feature within Data360 Govern (“Govern”) that allows any user to attach a keyword to an asset. It can help categorize and group assets in a user friendly way; which can help users browse and search for similar items.
Because tags can be created by any user, at any time, on any asset with tagging enabled, it’s best to understand and publish guidelines around creating tags. Here are some tips and tricks to help maintain control over the creation and use of tags.
Creating Tags Within Govern
- Have a designated person create and maintain tags
- The person designated to maintain tags should be a Govern admin with an understanding of how adding a tag will effect other Govern users. Often this will be the same user who makes configurations changes to Govern.
- For consistency, choose from the dropdown option of tags rather than creating unique tags on the asset wiki
Creating and Maintaining Tags
- Ensure tags are useful for users and not redundant with relationship and search abilities. For example:
- You shouldn’t need data domain tags because a model should already be in place to categorize assets by data domain.
- You shouldn’t need to tag a business term with a specific policy because the business term should be related to the policy
- Align tags with organizational and business priorities
- Tags should be no more than 2 or 3 words
- Strive for consistency (plural or singular, past tense or present tense, etc.)
- The more specific but reusable the better, don’t group concepts into one tag. For example:
- Not a good tag: Internal Analytical Calculation
- Instead have 2 tags
- Tag 1: Internal Calculation
- Tag 2: Analytics
- Don’t create tags that only relate to 1 or 2 assets
- Don’t over tag your content, tag sparingly, precisely and efficiently
- Ensure you have tags that represent all stakeholder groups
- Set aside time on a quarterly basis to create and maintain tags. The amount of time you set aside will depend on how many tags you are reviewing and implementing. When reviewing tags consider:
- Tags that are being used a lot, to ensure the tag is used consistently, i.e. you are always using the same tag to mean the same thing
- Talking with stakeholders to make sure the tags fit their needs and the stakeholder group feels represented
